A CRM keeps contact details, messages, proposals, and next steps together.

CRM stands for customer relationship management. It usually means software for keeping customer and prospect relationships organized.

For prospect follow-up, you need to know who the prospect is, what went out, what happened last, and when to follow up. A smaller business may already have all of that in regular email and a spreadsheet.

Two places the same essentials can live

Email plus a spreadsheet and a CRM can both hold the same four things for prospect follow-up: contact details, the proposal or estimate, the last conversation, and the next follow-up date.

When a CRM becomes useful

A CRM helps when prospect volume grows or conversations become hard to find. It also gives several people one record to work from.

If email and a spreadsheet already give you those facts, you don't need a CRM for this work. I can work with that setup; moving into a CRM or cleaning up an old one would be separate work.
